Three kinds of group
Team Settings › Groups lists the team's groups in a navigation column under three headings, with a table of All Groups beside it: Group Name, Type, Description and Members.
| Kind | Type chip | Examples | Who makes them | Rename, edit or delete |
|---|---|---|---|---|
| System groups | System | Super Admin, Team Admin, Users | Come with the product | No |
| Custom groups | User-Defined | the ones your team creates | Team Admin | Yes |
| Vendor groups | filed under Vendor Groups | an outside partner, such as a subcontractor | Team Admin | Yes |
- System, Custom and Vendor headings. A heading with nothing under it shows no rows.
- The Type chip on each row.
- Add Group creates a custom or vendor group.
A system group's identity is fixed
A system group's row menu offers only Open. Rename and delete are not greyed out; they are absent, and the group's page says so: this group is a system-defined group and you are not allowed to change the title or delete this group. You can still change who is in it; you cannot change what it is.
A custom or vendor group's row menu offers Open, Edit Properties and Remove.
Creating a group
Add Group opens Create New Group:
| Field | What it does |
|---|---|
| Group Name (required) | Unique within the team |
| Description | Optional |
| Auto-Join Email Domains | Members with these email domains automatically join this group |
| This is a vendor/external group | Files the group under Vendor Groups instead of Custom Groups |
Create Group stays unavailable until a name is entered.
Auto-join domains
A domain rule places people in the group without anybody adding them. New members whose email address is at one of the domains are joined to the group right after they sign up for the team.
That pairs with Self-Service Sign-up on Team Settings › General, which decides whether people at your team's email domain can join the team on their own. Together they decide who lands in the group, so check both before you rely on either.
The info text in the Edit Group Properties dialog points to Account Setting > Team Profile for self-service sign-up. The setting is on Team Settings › General, on the Self-Service Sign-up card.
Editing a group
Edit Properties opens Edit Group Properties: Name, Address, Auto-Join Group Email Domains and a Company Logo (image file size limit 1 MB). The address and the logo are there for vendor groups, which stand for an outside company.
Working with one group's members
Open a group and its page lists its members with their status, and the group's auto-join domains under its name. Add Members matches people already in the team: enter a name or email address and select a team member from the drop-down list.
So groups organise people who are already here. Adding somebody to the team is a different action, on the Members page; see Members - invite, change a permission, remove or deactivate.
Moving and removing
A member's panel shows their name, their email with a copy control, their status and the groups they are in, with Remove From Group at the bottom in red.
- Remove From Group takes the person out of this group only. They stay in the team.
- Move to Another Group names the group they are leaving and asks for the one they are joining. It is a move, not a copy: worth knowing if the person should end up in both.
- Deleting a group removes the grouping, not the people. Everyone in it remains a member of the team.
What a group grants
A group can hold a grade, and its members get it. That is the point of a group, and it is not set on this page.
The grade is set where the group is given access: add the group to a workspace or a project on the Members page and choose the grade it has there. Then:
- Everyone in the group gets that grade at that level.
- Change the group's grade and it changes for all of them.
- Take someone out of the group and they lose the access the group was giving them, unless they also hold it in their own right.
The Members table shows both kinds side by side, so you can see whether access was granted to the person directly or comes through a group before you try to remove it.
| This page decides | The workspace or project decides |
|---|---|
| Who is in the group, its name, its domains, whether it is a vendor | What grade the group has there |
The last-admin guard applies here too
Members and Groups use the same test: after whatever you are about to do, at least one active administrator must remain for that level, whether they hold it directly or through a group. Emptying the Super Admin group here meets the same guard as demoting the last admin on the Members page: you are asked to name a successor. See Roles - team, workspace and project grades.
