SpatialNotes
A SpatialNote is anything anyone has left on the site: a photo, a voice memo, or a filled-in form. Each one is pinned to a spot, so whoever opens it later lands where it was made.
This article covers the whole panel: finding notes, reading them, leaving new ones and moving them through their status.
Finding a note
Every note on the level is in one panel. Open it from the tool rail, then narrow the list down.
Opening the panel
Click Notes on the tool rail. The SpatialNotes panel opens beside the viewport.
The number beside each group is how many notes it holds for what you are filtering on.
- Notes - opens the panel.
- Search - finds notes by title.
- Date, Status and Tag - narrow the list to one capture date, status or tag.
- The groups - one per note type, with the number of notes in each.
How the list is organised
Three levels, outermost first:
| Level | What it is |
|---|---|
| Group | The kind of note, such as Safety, Quality or Coordination. Photo & Voice Notes is a group of its own at this level |
| Date group | When the note was made, marked one of two ways: Captured, tied to a capture, so opening it takes you to the exact spot in that capture; or Independent, placed on the plan or the model without a capture behind it |
| Note card | The note itself, newest first: title, who made it, when it was last updated, and its tag |
On each card, the eye shows or hides that note's pin, and the menu holds the rest of its actions.
- A group - with how many notes it holds.
- A date group - the capture date the notes belong to.
- A note card - title, author and last update; click it to open the note.
- Show / hide - the note's pin in the viewer.
- More actions - the note's menu.
- The pin on the plan - where the note was left.
Narrowing the list
| Control | What it does |
|---|---|
| Search | Matches the note text and highlights what matched on the card, so you can tell why a result came back |
| Date | Shows the notes of one capture date |
| Status | Filters by where the note is in its workflow. The statuses come from the Status Set your project uses |
| Tag | Filters by tag |
| Select | The checkbox icon left of the filters: pick several notes to act on them together |
Pins in the viewer and on the plan
Notes are drawn as pins in the capture and on the floor plan. Click a pin to open its note.
By default a pin shows the short code of the note's form template. Settings > SpatialNotes can switch the pins to show the note's status instead.
To hide all note pins at once, right-click in the viewport and turn off SpatialNotes under Layers (Shift + N), or use Settings > SpatialNotes.
Reading and working a note
Opening a note
Click a card or a pin. The note opens in the panel with three tabs:
| Tab | What it shows |
|---|---|
| Overview | The status, the tag, and who created and last updated it, with dates |
| Properties | The form behind the note. On an Inspection note that is Trade, Description, Severity, Assignee, Due Date and Cost Impact |
| Attachments | References, Photo & Voice Notes, and any files on the note |
Opening a Captured note moves the viewer to where it was made. Opening an Independent note moves the plan to its pin. Click the back arrow to return to the list.
- Back - to the list.
- Overview, Properties, Attachments - status and tags; the group's form fields; files.
- The form fields - what the group's form asks for, with Edit.
- Comments - the conversation on this note.
Status and comments
Status is the dropdown at the top of Overview. Changing it is how a note moves. The values come from your project's Status Set and are grouped by stage, for example:
| Stage | Statuses |
|---|---|
| Initiation | Open |
| Execution | In Progress, Under Review |
| Finalization | Closed |
Pick one and the note moves at once; there is nothing to save.
The Status filter in the list searches on it. Your project may use different statuses.
Comments are at the foot of the note. They are the conversation about the note, separate from the form.
Leaving a note
Adding a note
- Stand where the note is about, in the capture, and turn so the spot is in the middle of the view.
- Open Notes on the tool rail.
- Hover over the header of the group the note belongs in, such as Safety, and click +.
- The Add Note form opens and the note's pin is placed at the centre of your view.
- Enter a Title, fill in the form and click Save. Note created confirms it, and the note opens.
- The group the note goes in - Safety.
- + - adds a note to this group, pinned at the centre of your view.
- Title - required.
- Group and Capture date - filled in for you.
- Status - starts at (Not set).
- Tag - optional labels.
- The group's own form - for Safety: Issue Type, Trade, Description, Date and Member.
- The note's pin - at the centre of the view; turn the view to move it before saving.
- Save - creates the note.
- The note - its title, group, and the Overview, Properties and Attachments tabs.
- Note created - the confirmation.
A note added while you are looking at a capture is Captured. One added with no capture open is Independent, and you place it on the plan or the model yourself.
What every note has
| Field | What to put in it |
|---|---|
| Title | Required, up to 120 characters. It is what shows on the card and on the pin, so write it as the problem, not the location |
| Group | Which kind of note it is, such as Inspection or Safety |
| Capture date | Filled in for you |
| Status | Starts as (Not set). Pick one when the note needs to move |
| Tag | Optional, one per note, and the thing that makes a note findable later. Issue is a common one |
The form
Below those sits the form for the group you chose. An Inspection note asks for Trade, Description, Severity, Assignee, Due Date and Cost Impact. Assignee picks from the people on the project; Due Date opens a calendar. The Safety form on the same project asks for Issue Type, Trade, Description, Date and a member instead, and a Coordination note asks for Conflict Type, Primary Trade, Related Trade and Date.
Attachments
A note can carry References, Photo & Voice Notes and files. Drag files onto the drop zone or choose them from your computer, up to 100 MB each.
- Attachments - the note's attachments tab.
- File - files attached to the note; + adds one.
- Drop zone - drag files here or click Upload File, up to 100 MB each.
More about notes
Notes while comparing
You can add and open notes with Compare or BIM on screen, and pins are drawn on both panes. Raising a note the moment you spot a difference, from inside the comparison, is the workflow this is built for.
Photo & Voice Notes
Photo & Voice Notes are their own group in the panel. They come from the capture apps rather than from here, and you read them in SiteView alongside the other notes.
