On this page
One page, two subjects
Team Settings › Templates has two tabs, and they are different things:
| Tab | Defines | Used by |
|---|---|---|
| Status Sets | The stages and statuses a note or an asset moves through | Forms, and through them assets and notes |
| Forms | The fields someone fills in | Asset categories, FormNotes |
Both share one shape: a searchable list on the left, a read-only view of the selected item, and Configure, which turns the right-hand side editable. Nothing saves until you press Save, and Discard reverts the whole session.
Editing needs Team Admin, the same as Standards and Asset Categories.
Status Sets
A status set is a group of statuses in three named columns:
- Initiation Stage
- Execution Stage
- Finalization Stage
Each column holds as many statuses as you add, and the column gives a status its meaning in a workflow. A new team has a Default set, with open (OP) in Initiation and close (CL) in Finalization.
Making and renaming a set
- + beside the list opens Add Status Set: a name, an optional description, Create.
- The pencil beside a set's name opens Rename, with the same two fields.
What a status carries
Each status chip has a menu: Edit, Duplicate, Delete. Adding or editing one opens a panel:
| Field | Why it is there |
|---|---|
| Title, Description | What the status is |
| Abbreviation | Shown on a SpatialNote marker in SiteView when the full name will not fit |
| Marker Shape | The shape of that marker, chosen from a row of six shapes |
| Background and foreground colours | The marker's colours |
The panel also has Duplicate and Delete at its foot. Together, the colours, the shape and the abbreviation answer what does this status look like on a marker, which is the only place most people will ever see it.
Forms
A form is a set of fields. Select one and you get a Preview, which says of itself that it is read-only: Click Configure to edit fields.
Making a form
+ beside the list opens Add Form:
- a name and description
- a two-letter abbreviation with a font colour and a background colour: the symbol the form shows in lists
- the Status Set it binds to
The pencil on a selected form opens Edit Form with the same fields.
Configure
In Configure the page splits: a Form Fields list on the left, a Live Preview on the right.
- Add Field offers Text Field, Number, Text Area, Check Box, Multi-Select, Dropdown Select, Radio Buttons, Date and Select Member.
- Selecting a field opens its properties panel: Name, Label, Hide Label, Required, Default Value, Placeholder and Tooltip, with Duplicate and Delete at the foot.
- A Select Member field also has Limit to User Group, which narrows the people the person filling the form can pick from. Left empty, it offers the whole team.
- Save, and the form's Preview shows it as a user will see it, with an Updated toast.
Import and Export
Forms Import and Export as JSON, which is how a form moves between teams. A form exported from one team imports into another unchanged. A file that is not a form definition is refused: That file is not a form definition.
Where these are used
Neither tab is an end in itself. A form template is attached to an asset category, and the category then resolves an Effective Status Set from it; see Team Settings: Asset Categories.
So editing a status set here changes what people see on assets elsewhere. That is why this is a team-level page and not a per-project one.
