Where workspaces live
A workspace is the level between the team and its projects: the team holds the license, a workspace holds a set of projects, and projects hold captures.
The Workspaces entry in the main sidebar lists every workspace in the team, as a grid or a list. Each one shows its project count, its Workspace ID, its creator and its creation date. A Team License banner above the list leads to the license, and Create Workspace sits top right.
Each workspace's menu has five entries:
| Entry | What it does |
|---|---|
| Open | Opens the workspace's Projects page |
| Configure | Opens the workspace's Configuration (below) |
| Rename | Renames it in place |
| Manage Access | Opens the Add Members dialog at this workspace |
| Delete | Moves it, with its projects, to Trash |
Creating a workspace
Create Workspace opens Create New Workspace with three fields:
- Workspace Name
- an optional Description
- an Icon, picked from a row of symbols, which becomes the workspace's mark in lists and in the top bar's breadcrumb
Nothing else is asked at creation; members and projects are added afterwards.
Inside a workspace
Opening a workspace shows its Projects page: the project cards, Grid view and List view, Active and Archived, a search box, and New Project. The header reads the project count and the area the workspace uses. Creating a project is its own article: Create a project - the five-step wizard.
Configuration sits under Admin in the workspace's sidebar, with two tabs.
Configuration › Properties
A single Profile card, Basic workspace information and identity: Workspace ID with Copy, Creator, Created Date, Workspace Name, Description and Icon. Change edits the name, description and icon.
The Workspace ID is what support will ask for. It is the stable handle for the workspace (renaming does not change it), and Copy exists so it is never retyped.
Configuration › Workspace Members
Manage team members and permissions for this workspace. A Permission Levels card gives the product's one-line definition of each grade:
- Workspace Admin: "Full access to workspace settings, members, and all projects."
- Workspace Member: "Can view and contribute to assigned projects within the workspace."
The tab does not list members itself. Manage Members opens Team Settings › Members with this workspace already picked; see Members - invite, change a permission, remove or deactivate. The grades are explained in Roles - team, workspace and project grades.
What a workspace does not set
There are no workspace-level defaults here: units, language and capture methods are the team's, on Team Settings › General, and a workspace inherits them.
On a Team License, the License page's allocation table shows usage per workspace, which is a reading, not a setting. On a Workspace License, each workspace has its own quota, usage and renewal date. See Licenses - capacity, allocation, expiry and suspension.
Deleting a workspace
Delete asks once, and says what will happen: The workspace and the projects inside it move to Trash, where you can restore them. Confirm, a Deleted toast follows, and the workspace leaves the list.
- Deleting is not blocked by the projects inside.
- It is not permanent: everything goes to Team Settings › Trash, where the permanent step lives. Restoring the workspace there brings its projects back with it. See Trash - restore and permanent deletion.
